Making a PDF Catalog — A Practical Guide from Product List to Final File
PDF is still the most common catalog format in trade: it opens everywhere, it prints, and it looks the same on every device.
Before you start: prepare the data
Most of the time spent building a catalog goes into tidying data, not designing. For each product you need at least: name, product code, price, minimum order and one clean photo.
The issue that ruins most PDF catalogs: file size
A PDF with 50 products and camera-resolution photos can reach 100 MB. Such a file will not send on WhatsApp, opens slowly on a phone, and bounces from email.
Solution: compress images before they go into the PDF. A product photo for digital viewing does not need more than about 1400 pixels. Done properly, the same catalog drops below 10 MB with no visible difference.
Embed the font
If the font is not embedded, text breaks on a computer that does not have it — and for right-to-left languages this happens almost always.
PDF or an online link?
PDF is right when the customer wants a file or it will be printed. For sending on WhatsApp, a light HTML file opens faster and can carry an inquiry button. Best is to have both from one source.
The fastest route
If your product list is in Excel, you do not need to lay anything out by hand. Upload it to the online catalog maker, pick a template and export the PDF.
